Create a new taxonomy

Before creating a new taxonomy, it is important to validate the necessity of the taxonomy. You should ensure that no duplicate taxonomy is created to avoid confusion when using the taxonomy to classify information.

To properly govern the taxonomy creation process, only users with the approver role can create a new taxonomy.

The following steps walk you through the process of creating a new taxonomy in the Taxonomy app.


1.  Navigate to the Taxonomy Dashboard page, and click the Create button.

 

The Create new taxonomy pane is displayed.


2.  Enter/select the required values in the fields. Refer to the table below for field names and descriptions:


Note:  The fields followed by * are mandatory to create the taxonomy.


Fields

Description

Code*

Unique Code used to identify the taxonomy, usually the abbreviation of the Taxonomy, e.g. CS for Corporate Services.

Name*

The name of the taxonomy, it has be understood by the business stakeholders, avoid abbreviations for the name.

Description

Information about the taxonomy, preferably describing the business activities underneath.

First Language*

The primary language to be used for the taxonomy.

Second Language

The secondary language to be used for the taxonomy, Note: When enabled, all fields in this language become mandatory to submit the taxonomy for approval.

Display Records Management Details Section

Display the Records Management Details section in the Details page. Note: When enabled, all fields in this section become mandatory to submit the taxonomy for approval.

Display M365 Retention Label Tab

Enables the M365 Retention Labels' related features.

Display Custom Attributes Tab

Enables Custom Attributes' related features.

Allows Views Management

Enables Views Management's related features.

Level*

The level of granularity for the taxonomy. Possible levels are:

  • Function, 
  • Sub-Function,
  • Business-Process.

Version Number*

Uniquely system generated version number, begins with V 1.



3.  Click Ok.


The Success dialog is displayed.



4.  Click Ok.


The taxonomy is successfully created and added to the Taxonomy Dashboard page.


5.  Click the taxonomy name to start editing it.
