How to Export Taxonomy?

Different reasons for exporting the taxonomy in Excel format; working offline, sending for review by external agency or organization, keeping a backup copy sending for translation by a third party, etc.


Note: the reason for exporting the taxonomy can also be to make changes to the taxonomy configuration, such as changing the language, changing the level of detail, enabling/disabling Retention Labels and/or Records Management sections recordings.


Follow the steps below to export the taxonomy in Excel.


1.  Navigate to the taxonomy details page.


The taxonomy details page is displayed.



2.  Click the  icon against the taxonomy name.


A dropdown list is displayed.




3.  Click Export.


The Export dropdown list is displayed.



4.  Click Export taxonomy.


The selected file is downloaded as an Excel sheet on the status bar of your system.



On clicking the file, you can view the taxonomy in an Excel spreadsheet.



For information on the fields in the Excel spreadsheet, refer to the table below.

Tx_EnableRecordsManagement

Specifies whether the Records Management Details section is allowed. The valid values are

  • True - The Records Management Details section is enabled

  • False - The Records Management Details section is disabled

Tx_EnableRetentionLabel

Specifies whether the Retention Label section is allowed.  The valid values are

  • True - The Retention Label section is enabled

  • False - The Retention Label section is disabled

Tx_Name_PrimaryLanguage

The Primary language of the taxonomy. 

Tx_Name_SecondaryLanguage

The Secondary language of the taxonomy.

Tx_Code

The Unique taxonomy code for all your taxonomies.

Tx_Level

Number of levels in the taxonomy 

2: Function Level

3: Sub-Function Level

4: Business Process Level

Tx_Title_PriLanguage

Name of the taxonomy in the primary language.

Tx_Title_SecLanguage

Name of the taxonomy in the secondary language.

Tx_Description_PrimaryLanguage

Description of the taxonomy in the primary language.

Tx_Description_SecondaryLanguage

Description of the taxonomy in the secondary language.

Tx_FunctionSeriesNumber

Unique series number of the function in the format: RootCode-XX (e.g. ABC-01, SDF-20, XYZ-06).

Name of the Function in the primary language.


Tx_FunctionTitle_SecondaryLanguage

Name of the Function in the secondary language.

Tx_FunctionDescription_PrimaryLanguage

Description of the function in the primary language.

Description of the function in the secondary language.

Tx_SubFunctionSeriesNumber

Unique series number of the sub-function in the format: RootCode-XX-YYY, where RootCode-XX is the series number of the parent function (e.g. ABC-01-003, SDF-20-120, XYZ-06-012).

Name of the sub-function in the primary language.

Tx_SubFunctionTitle_SecondaryLanguage

Name of the sub-function in the secondary language.

Tx_SubFunctionDescription_PrimaryLanguage

Description of the sub-function in the primary language.

Tx_SubFunctionDescription_SecondaryLanguage

Description of the sub-function in the secondary language.

Tx_BusinessProcessSeriesNumber

Unique series number of the business process in the format: RootCode-XX-YYY-ZZZ, where RootCode-XX-YYY is the series number of the parent sub-function (e.g. ABC-01-003-005, SDF-20-120-023, XYZ-06-012-928).

Name of the business process in the primary language.

Name of the business process in the secondary language.

Description of the disposition process in the primary language. e.g. Delete documents, retain documents forever, Transfer to, etc.

Tx_IRBV_PrimaryLanguage

Description of the information resources of business value produced in the business activities in the primary language.

Description of the information resources of business value produced in the business activities in the secondary language.

Tx_IREV_PrimaryLanguage

Description of the information resources of enduring value produced in the business activities in the primary language.

Tx_IREV_SecondaryLanguage

Description of the information resources of enduring value produced in the business activities in the secondary language.

Tx_RetentionTrigger_PrimaryLanguage

Description of the action(s) that trigger the countdown of the retention period in the primary language along with the criteria used to determine the disposition date, such as Last modified date, Creation Date, Project Closure Date, Superseded date, etc.

Tx_RetentionTrigger_SecondaryLang

Description of the action(s) that trigger the countdown of the retention period in the secondary language along with the criteria used to determine the disposition date, such as Last modified date, Creation Date, Project Closure Date, Superseded date, etc.

Tx_RetentionExceptions_PriLang

In the primary language, description of any condition or situation that excludes the document from following the retention and disposition rules identified in the fields above, and the new rule that is applied.

Tx_RetentionExceptions_SecondaryLanguage

In the secondary language, description of any condition or situation that excludes the document from following the retention and disposition rules identified in the fields above, and the new rule that is applied.

Tx_RetentionPeriod_PriLang

In the primary language, description of the duration of the document retention period when the retention period is triggered. (e.g. 5 Years; 7 Years, 6 months, forever, etc.)

Tx_RetentionPeriod_SecondaryLanguage

In the secondary language,  description of the duration of the document retention period when the retention period is triggered. (e.g. 5 Years; 7 Years, 6 months, forever, etc.)

Tx_DispositionAuthority_PrimaryLanguage

Description of the disposition authority in the primary language

Tx_DispositionAuthority_SecondaryLanguage

Description of the disposition authority in the secondary language

Tx_OPI_PrimaryLanguage
